TIMES TO REPORT to the WOMEN’S CHORUS ROOM at Pasadena Civic Auditorium (PCA):

Enter at the "Artists Entrance" on the East side of the auditorium (right side if you're facing the main building with Green Street behind you) and proceed down the stairs to the women's chorus room.

Thursday, May 20

Ceremony #1 - AM Ceremony (Allied Health/Nursing): Assistant Arrival Time = 7:30am.

Ceremony #2 - PM Ceremony (Pharmacy): Assistant Arrival Time = 1:00pm.

Be sure to sign in.
A Continental breakfast and snacks will be provided in the Women’s Chorus Room.
LUNCH will be provided in room C211 for those working BOTH CEREMONIES on Thursday.
Be sure to sign out.

Friday, May 21

Ceremony #3 - AM Ceremony (DO): Assistant Arrival Time = 7:30am.

Ceremony #4 - PM Ceremony (Veterinary Medicine): Assistant Arrival Time = 1:00pm.

Be sure to sign in.
A Continental breakfast and snacks will be provided in the Women’s Chorus Room.
LUNCH will be provided in room C211 for those working BOTH CEREMONIES on Friday.
Be sure to sign out.

PLEASE BE ON TIME – GRADUATES AND THEIR FAMILES WILL ARRIVE EARLY!!!

Dress Code

Attire for the day – please wear “nice”, but comfortable, clothes (cool dress or slacks for women, white shirt with a collar and dark slacks for men). NO JEANS.
Do not forget to wear comfortable shoes. NO SNEAKERS.
Name badges and pouches will be distributed to all Assistants on-site at PCA.
Commencement Assistants will receive a white robe to be worn while working during all ceremonies. Return your white robe to the Women’s Chorus Room after the ceremonies.
You may want to wear a “fanny pack” to hold small items – it will not show under the robe.
Be sure to sign out.

Please Note

Auditorium doors will close to allow for the Academic Procession (graduates and faculty marching in) and will re-open after the National Anthem and Invocation. Late arriving guests will be admitted after the Invocation. They will not miss the ceremony.
Late arriving graduates will be admitted immediately.
GRADUATES ONLY in the Gold Room – no family/guests.
If you have any questions or problems during the Commencement ceremonies, please see your Team Leader first. Your Team Leader, with your input, will handle situations that arise in your area. Your Team Leader will also be in contact with Drs. Guidry and May by radio.

Reimbursements

Your Team Leader will contact you with Lunch Tickets.
If you stay at the hotel Wednesday and/or Thursday night, your dinner cost will be reimbursed up to $23.00 (save your receipts)
You can validate your PCA parking stub in the Women’s Chorus Room.
For those staying overnight on Wednesday or Thursday, May 19 or 20, hotel expenses are being covered by your college/academic program/department.
You will be reimbursed for mileage at a rate of 55 cents per mile. Per the Western University Travel Policy, mileage is calculated from WesternU, to Pasadena, to WesternU. The total mileage you will be reimbursed for is 56.6 miles (28.3 miles one way) which comes out to $31.13.

Parking

Enter the parking area from the Euclid street (East end) entrance. When you come upstairs from the parking structure, you will be in the East Plaza. Proceed to the front of the Auditorium, cross to the west side in order to gain acess to the "Artists Entrance".
